Use a calendar that EVERYONE can see.
If a "Highbury Ward Primary" calendar is used to schedule the Merry Lane building for Thanksgiving day and the building scheduler for another ward is shopping around for a member to use a building... and they do not have access to the "Highbury Ward Primary" calendar, they do not know that resource is reserved.
They do not see it. Then emails, text, phone calls ensue and after some effort, and getting multiple people involved, it is resolved that the building is being used -- they must keep looking, and hoping the same situation does not
happen in other scheduled events.
Stake Calendar Standard Practices and Expectations
The Salt Lake Hunter Stake has an Assistant Stake Clerk who over sees the use and coordination of the online Stake calendar at www.churchofjesuschrist.org/calendar/.
Each Ward, within the Stake, has a member who is called to coordinate the online Ward calendar at www.churchofjesuschrist.org/calendar/.
The Salt Lake Hunter Stake coordinates the scheduling and use of buildings and facilities through the online Ward & Stake calendars.
The agent Ward is responsible for coordination, care and scheduling of their building.
The Stake Assistant Clerk is responsible for coordination and scheduling of the Stake Park Pavilion.
The Assistant Stake Clerk works with the Stake Presidency to prepare and enter Stake events and items on the Stake Calendar by the end of October.
The Ward Agents may schedule Ward events and items after the Stake has published the Stake items on the Stake calendar.
Individual Ward members may schedule family events up-to 90-days before the date being requested. Family events are scheduled equitably through the Ward scheduling Agent.
If a Ward or Family is requesting to use another building (one other than the one the Ward attends), then they should go through their Ward Agent, who will then contact the Agent Ward Scheduler to coordinate the scheduling and use of the other building.
Stake Park
Sprinkler Schedule: Sunday, Monday, Wednesday, and Friday nights. Watering from 9PM to 8AM. As per the FM Group.
Stake Center tables and chairs are okay to be used in the Stake Park as long as they are not damaged and are cleaned when they are put away. (Brother Bracken Email)
The Stake Park has a sign that states no Sunday activities. However, Brother Bracken has mentioned that gatherings are fine, just not "activities" … I guess is the best way to say that.
Building Schedule on Sunday
Buildings on Sunday are to used only for meetings and worship. If a family wants to schedule for a Family Home Evening that is fine. If a family wants to schedule for a birthday or family reunion, that will not be acceptable. (Email from President Peterson)
